What information do we need to supply before installation?

To configure your intelligent office ↔ hubspot integration we’ll ask for:

- Your full list of service status values, with any that should be excluded from hubspot clearly flagged

- Your list of campaign type values

- The service status trigger that should push a contact from hubspot into intelligent office

We’ll also map the communication types you want in your hubspot preference centre and link any that should control the can contact for marketing purposes field in intelligent office.

Which data fields sync between HubSpot and Intelligent Office?

All fields listed in our two-way sync table move both ways automatically. Individual properties can’t be toggled on or off.

Can we choose which contacts to sync?

Yes. Contacts are included when their service status matches the values you specify.

Is the sync real-time and can we trigger it manually?

Updates flow automatically, most changes appear in seconds, though very large datasets may see brief delays due to Intelligent Office api limits. You can also run a manual sync from the hubspot integrations UI, the request is queued via the Hatch api.

How is the initial data migration handled?

We import your chosen Intelligent Office contacts into HubSpot during onboarding. From then on, any change in either system updates the other automatically. If you add contacts only in Intelligent office, run the import button in hubspot to bring them across.

What are the daily import limits?

Around 15,000 records per day currently. 

Can we enrich HubSpot with additional csv data from Intelligent Office?

Yes, importing extra csv fields adds depth to each contact record in HubSpot.

Where is our data stored?

All data processed by Hatch stays within the UK.

How are marketing preferences synced?

On first import, any contact with 'Cancontact' for marketing purposes = No in Intelligent Office is opted out of matching communication types in HubSpot. Future opt-ins or opt-outs in HubSpot update the same field in Intelligent Office, including the related-products-only state when only some marketing types are declined.

How are relationships, like spouses, handled?

Existing relationships in Intelligent Office create matching contact associations in HubSpot (requires HubSpot Professional or above). When a synced contact is pushed back to Intelligent Office, Hatch checks for linked contacts and sets the relationship type Other if needed.

Do we need full lists of service statuses and campaign types, or just active ones?

Provide all values unless you’re certain no inactive value appears on any contact you plan to sync. This applies to service statuses, campaign types, and organisational campaign values.

What issues should we look out for?

Keep campaign source and campaign type values aligned between systems, notify us if you add new service statuses you’d like synced, and ensure email addresses in Intelligent Office are valid, invalid emails won’t sync into HubSpot.

Does Hatch store personal data?

Hatch stores only the Intelligent Office ID and HubSpot ID (plus encrypted adviser names for default-adviser selection). Neither ID is personally identifiable without direct access to HubSpot or Intelligent Office.
